This policy explains how Automotive Investment Group Pty Ltd (ABN 74 657 797 156) trading as Sydney Pink Slips collects, uses, stores and discloses your personal information. In this policy, "we", "us" and "our" mean Sydney Pink Slips, and "you" means anyone who books, enquires about or receives our services, or uses our website.

We handle personal information in line with the Australian Privacy Principles set out in the Privacy Act 1988 (Cth).

1. Information we collect

We collect the following categories of personal information:

Contact and identity information

• Your full name
• Email address
• Mobile and landline telephone numbers
• The address where the inspection is to take place, which may be your home address, workplace or another location
• Your postal or billing address where this differs from the inspection address

Vehicle information

• Registration number
• Vehicle Identification Number (VIN) and engine number
• Make, model, year, body type and odometer reading
• The condition of the vehicle and the findings of any inspection we carry out

Booking and transaction information

• The date, time and location of your booking
• The service you booked and the price paid
• Payment details, which are processed by our payment provider. We do not store your full card number
• Your booking history with us and any previous inspection outcomes

Communications

• The content of emails, SMS messages, web forms and online chat messages you send us
• Notes made by our staff and contractors about your enquiry or booking
• Telephone calls to and from our business, including calls answered by our automated voice assistant. Calls may be recorded or transcribed for quality, training and record keeping. Where a call is being recorded you will be told at the start of the call and may ask us not to record

Website and technical information

• Your IP address, browser type, device type and operating system
• The pages you visit on our website, how long you spend on them and the site or advertisement that referred you
• Cookie and pixel data, described in section 9 below

2. Photographs and video of your vehicle

This section is important, so please read it carefully.

As part of every inspection our inspector takes photographs, and in some cases short video, of your vehicle. This is a normal and necessary part of the service. The images are used to:

• Record the condition of the vehicle at the time of inspection
• Evidence any defect or reason for a failed inspection
• Support the inspection report we submit to Transport for NSW
• Protect both you and us if a dispute arises about the condition of the vehicle

These images may show your vehicle, its registration plate, its VIN, its odometer, its interior, and the surroundings where the vehicle was parked, which may include part of your driveway or property.

Use of images in our marketing

We may also use photographs and video taken during an inspection in our own marketing and promotional material. This includes our website, social media accounts, online advertising, printed material and material provided to prospective purchasers of our business.

Where we use an image publicly, we will first remove or obscure:

• Any VIN, engine number or odometer reading
• Any street number, street sign or other feature that would identify the address where the inspection took place
• The face of any identifiable person, unless that person has separately agreed in writing

Your vehicle registration plate may be visible in images we publish.

We will not publish your name, address or contact details alongside an image without your separate written consent.

Your right to say no

You may tell us at any time that you do not want images of your vehicle used in our marketing. You do not need to give a reason and it will not affect the service you receive or the price you pay. Requests must be made by email to the address in section 12.

If you email us asking that we stop using an image after it has already been published, we will remove it from any material we control within a reasonable period. We may not be able to recover copies that have already been shared, downloaded or reposted by third parties.

Images taken for inspection record keeping purposes are retained regardless of any marketing objection, because we are required to keep inspection records. See section 7.

3. How we collect your information

We collect personal information directly from you when you:

• Complete a booking through our website or booking link
• Telephone us, send us an SMS, or email us
• Complete a contact or enquiry form
• Speak to our inspector at the time of the inspection
• Interact with our social media accounts or advertising

We also collect information automatically when you use our website, and we may receive information from third parties such as a person who books an inspection on your behalf, a dealer or seller in the case of a pre purchase inspection, or our advertising and analytics providers.

4. Why we collect and use your information

We use your personal information to:

• Schedule, perform and complete the service you booked
• Contact you about your booking, including reminders and arrival notifications
• Submit inspection results to Transport for NSW as required by law
• Take payment and issue receipts and tax invoices
• Respond to your enquiries and complaints
• Keep the records we are required to keep as an Authorised Inspection Scheme station
• Send you registration renewal reminders and other service related messages
• Send you marketing about our services, where you have not opted out
• Improve our website, our advertising and our service
• Comply with our legal obligations

5. Who we disclose your information to

We disclose personal information to:

• Transport for NSW and Service NSW. Inspection results, vehicle details and identifiers are submitted as required under the Authorised Inspection Scheme. We cannot perform a pink slip inspection without doing this
• Our inspectors and contractors. The inspector attending your booking receives your name, contact number, address and vehicle details
• Our booking, CRM and communications platform. We use Bgentic to manage bookings, customer records and messaging
• Our payment provider, to process payments and refunds
• Our advertising and analytics providers, including Google and Meta, as described in section 9
• Our professional advisers, including our accountants, solicitors and insurers, where required
• A purchaser or prospective purchaser of our business. If we sell all or part of our business, customer records may be disclosed to a prospective purchaser under confidentiality obligations, and transferred to the purchaser on completion. The purchaser will be required to handle your information consistently with this policy
• Law enforcement, courts and government agencies, where required or authorised by law
• Other third parties. We may disclose personal information to other third parties, including suppliers, technology and hosting providers, marketing and lead generation partners, business partners, related entities, and commercial third parties, for purposes connected with operating, promoting, improving or commercialising our business. We take reasonable steps to ensure any recipient handles your information appropriately
• Anyone else you authorise, or where the disclosure is otherwise permitted under the Australian Privacy Principles

You may object to the disclosure of your personal information to third parties for their own marketing purposes by emailing us using the details in section 12.

6. Overseas disclosure

Some of the service providers we use store data outside Australia, including in the United States. This includes our booking and CRM platform, our email and messaging providers, and our analytics and advertising providers. By providing your information to us you acknowledge that it may be stored or processed overseas, and that overseas recipients may not be subject to the Privacy Act.

7. How long we keep your information

We keep inspection records, including vehicle photographs, for the period required by Transport for NSW under the Authorised Inspection Scheme, and for as long as required by taxation and corporations law. Where we are not required to keep information, we retain it only for as long as it is needed for the purposes described in this policy.

8. Security

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include access controls on our systems, use of reputable service providers, and restricting access to those who need it to do their job. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

If we become aware of a data breach likely to result in serious harm, we will act in accordance with the Notifiable Data Breaches scheme.

9. Cookies, analytics and advertising

Our website uses cookies and similar technologies, including Google Analytics and the Meta pixel. These help us understand how visitors use our site, measure the performance of our advertising, and show relevant ads to people who have visited our website.

You can disable cookies in your browser settings. Some parts of our website may not work correctly if you do.

Our website may contain links to other sites, including our booking platform and social media pages. We are not responsible for the privacy practices of those sites.

10. Marketing and how to opt out

We may send you marketing by email or SMS about our services, including registration renewal reminders and offers. Every marketing email and SMS includes a way to unsubscribe. You can also opt out at any time by contacting us using the details in section 12.

Opting out of marketing does not stop messages that relate directly to a booking you have made, such as confirmations, reminders and inspection results.

11. Accessing and correcting your information

You may ask us for a copy of the personal information we hold about you, and you may ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details in section 12. We will respond within a reasonable period.

We may refuse access in limited circumstances permitted by the Privacy Act. If we do, we will tell you why in writing.

There is no fee to make a request. We may charge a reasonable fee for the cost of providing access where a request is substantial.
